The real meaning of effective virtual meetings often relies on picking the right technologies to enhance engagement and productivity. These may include web conferencing software, chat functions, and collaborative tools. These meetings bridge geographical gaps, but to be successful, they also require good internet connectivity, clear communication, and adherence to proper meeting etiquette.

Indeed, electronic meetings have revolutionized the way people communicate and collaborate, providing efficient alternatives to traditional in-person gatherings.

 

CONCEPT OF THE ELECTRONIC MEETING

Electronic meeting is a meeting held in a forum other than face to face. In other words, a virtual meeting consists when people from different geographical locations leverage on a mixture of video, audio, and text to link up online. Virtual meeting affords participants the opportunity to share and exchange data and information in real-time devoid of physical convergence. This kind of meeting employ video-teleconference (VTC) platforms, such as Zoom, Microsoft’s Skype, Adobe’s Connect and Google’s Hangouts among others.

Nweke, (2017) defined an electronic meeting system (EMS) is software intended to provoke problem-solving and decision-making within a group.

Standard features of electronic meeting systems include electronic brainstorming (generally in an anonymous format), parallel processing, discussion tools, and voting. In brief, an e-meeting is any meeting that takes place online.

As laudable as the idea of electronic meetings are, they are not without their limitations. There are a few limitations to electronic meetings in Nigeria. These include:

Internet connectivity: Nigeria has a relatively low internet penetration rate, with only about 40% of the population having access to the internet. This can lead to slow or unreliable connections, which can make it difficult to hold smooth online meetings.

Device availability: Not everyone in Nigeria has access to a computer or smartphone with a good internet connection. This can make it difficult for some people to participate in online meetings.

 

Technological illiteracy: Some people in Nigeria may not be familiar with the technology needed to participate in online meetings. This can make it difficult for them to follow the meeting and contribute to the discussion.

Language barriers: Nigeria is a multilingual country, with over 500 languages spoken. This can make it difficult for people who speak different languages to communicate effectively in online meetings.

Power outages: Nigeria experiences frequent power outages, which can disrupt online meetings. This can be a major inconvenience for participants, and it can also make it difficult to keep track of the meeting.

 

Team Members May Be in Different Time Zones: If your team is spread out across the globe, you may need to hold meetings at what are outside business hours for some people. Having meetings at the same time each week could be an annoyance for these team members. You may need to consider moving the time of the meeting each week to keep things fair for everyone.

Participants May Not Know Each Other: When you only ever have virtual meetings, it’s difficult for participants to get to know each other. The pressure is on you to lighten the atmosphere and encourage everyone to interact.

 

CONCLUSION

In conclusion, it is clear that a public company in Nigeria can validly hold either of its statutory or annual general meeting electronically provided other requisites of convening such meetings are met.

The principal elements being that the meeting is validly convened by the appropriate person(s), the requisite notice is issued and the notice communicated to persons eligible to attend such meetings, the meeting meets the required quorum and resolutions are validly passed.

The disadvantage of not having enough social interaction and professional networking that is a cardinal component of in-person conferences is a veritable drawback of virtual conferencing. Such informal interactions held on the sidelines of major conferences usually birth research collaborations and also present mentorship and training opportunities for younger professionals. Also not everyone is comfortable with technology.

Some loss of potential revenue also occurs with virtual conferencing. The absence of product exhibitions or their limitation to virtual exhibition rooms (if available) diminishes revenue from industry support and sponsorship. Other benefits of in-person conferences such as hands-on trainings and workshops may also be lost or reduced in impact by their conversion to virtual sessions devoid of the hands-on component.
